What is an AI voice agent, and what can an AI receptionist actually do?
A plain-language guide to AI voice agents and AI receptionists - what they handle well, where a person is still needed, and how to tell if your business is ready for one.
By Muthuraman ·
An AI voice agent is software that answers the phone, understands what the caller wants and does something about it. An AI receptionist is the most common kind: it greets callers, answers routine questions, books appointments and passes the rest to your team.
How it differs from a phone menu
A traditional phone menu makes callers press buttons and hope their reason is on the list. A voice agent lets them speak normally, "I need to move my appointment to Thursday", and responds in a natural voice. It can be interrupted, asked to repeat itself, and will ask a follow-up question if something is unclear.
What it handles well
- Answering every call. Including after hours, at lunch, and when all lines are busy.
- Common questions. Opening hours, location, prices, availability, accepted insurance.
- Bookings. Checking a real calendar, offering times, booking the slot and confirming by message.
- Reminders. Calling or messaging before an appointment to reduce no-shows.
- Messages and routing. Taking a clear message and sending it to the right person, or transferring the call live.
- Notes. Summarising each call and logging it in your CRM or booking system.
Where a person is still needed
Complaints, anything clinical or legal, negotiation, and any call where the caller is distressed. A well-built agent recognises these and hands over quickly, with a summary, so the caller does not have to repeat themselves.
What good practice looks like
- The agent says it is an AI assistant at the start of the call.
- Recording notices are in place where the law requires them.
- Outbound calls go only to people who have agreed to be contacted.
- It is tested on real past calls before it speaks to a customer.
- You choose the voice and approve the wording.
Is your business ready for one?
It is usually worth a look if you can answer yes to two of these:
- You miss calls, especially outside office hours.
- A large share of calls are the same handful of requests.
- Your bookings live in a calendar or system that software can read.
- A missed call often means a lost customer.
How to start
Start narrow. Let the agent take only after-hours and overflow calls, and only for bookings and common questions. Measure how many calls it resolves, how many it transfers and why. Widen the scope once you trust it.
