The problem

Does this sound like your week? If so, this is the work we remove.

  1. 01

    Skilled people doing copy-paste work

Your team moves data between spreadsheets, inboxes and systems by hand, every single day.

  2. 02

Leads and customers waiting for replies

Enquiries arrive at night or on weekends and sit until someone gets to them.

  3. 03

Reports that take days to assemble

By the time the numbers are pulled together, they are already out of date.

  4. 04

    Growth that means more headcount

Every increase in orders, invoices or tickets needs another hire to keep up.

What we automate

Five areas, twenty-five everyday jobs. Scroll to see what we take over in each.

01

Front desk & phone

A missed call is often a missed customer. An AI voice agent answers every call on the first ring, day or night, deals with the routine ones and passes the rest to your team with a summary.

What we take over

  • Answering every call, including after hours and at busy times
  • Booking, moving and cancelling appointments by phone
  • Answering common questions: hours, prices, location, availability
  • Reminder and confirmation calls to reduce no-shows
  • Taking messages and logging every call in your CRM

Where we usually start

An AI receptionist for after-hours and overflow calls

It answers when your team cannot, books straight into your calendar, and tells callers it is an AI assistant.

02

Customer support

Most support queues are filled with the same handful of questions. An assistant answers those in seconds, in the customer's own channel, and passes everything else to your team with the context attached.

What we take over

  • Order-status and FAQ replies on WhatsApp and web chat
  • Sorting and routing new tickets by topic and urgency
  • Drafted replies for agents to review and send
  • Return and refund requests checked against your policy
  • Feedback requests, with unhappy replies sent to a manager

Where we usually start

An assistant for your five most common questions

It answers from your own help content and order data, and hands over when it is not sure.

03

Finance & accounting

Finance work is rule-heavy and document-heavy, which makes it a strong fit for automation. Controls and approvals stay exactly as they are. What goes away is the typing and the chasing.

What we take over

  • Supplier invoices and purchase orders read and posted
  • Bank and ledger reconciliation, leaving only the unmatched items
  • Payment and purchase approvals with limits and an audit trail
  • Month-end reporting packs built on a schedule
  • Polite payment reminders that stop when the invoice is paid

Where we usually start

Supplier invoices read, matched and posted to your ERP

Clean invoices go straight through. Anything that fails a check waits for a person, with the reason shown.

04

Sales & CRM

Leads go cold while they wait. We make sure every enquiry is captured, reaches the right person in minutes, and gets followed up whether or not anyone remembers.

What we take over

  • Enquiries from every channel captured in one place
  • Leads scored and routed by region, product or deal size
  • Follow-up sequences that stop the moment a lead replies
  • Call and meeting notes written back to the CRM
  • Pipeline and activity reports sent each week

Where we usually start

Every enquiry into the CRM and to the right owner

Website forms, ads, WhatsApp and email all feed one workflow, so your rules are applied once.

Operations

Operations teams hold the business together with spreadsheets, exports and reminders. We connect the systems so information moves on its own, and people step in only where judgement is needed.

What we take over

  • Order, stock and delivery alerts to the right person
  • Reorder suggestions sent for a one-tap approval
  • Daily and weekly reports that build themselves
  • Internal requests and approvals with reminders
  • Data kept in step between your systems, with no retyping

Where we usually start

A daily report that builds itself

The AI behind it

Useful AI is mostly careful engineering. Here is how we keep it reliable.

No black boxes. Before we build, you know which model is used, what it can touch and what it costs to run.

  1. 01

The right model for the task

We are not tied to one AI provider. We choose per task from leading models such as Claude, GPT and Gemini, and use smaller, cheaper ones where they do the job as well.

  2. 02

    Grounded in your data

Answers come from your own documents, policies and records, not from the model's memory. When it does not know, it says so and hands over.

  3. 03

Guardrails on what it can do

Each agent has a defined job and a defined set of actions. Anything sensitive, such as refunds, payments or messages to customers, can require a person's approval.

  4. 04

Tested before your customers see it

We replay real past cases through the system and review the results with you. It goes live when you are satisfied, not before.

  5. 05

    Running costs you can predict

AI usage is paid per task. We estimate that cost before we build, show it in the quote, and set limits so there are no surprises.

  6. 06

    Your data stays yours

We use business plans whose terms rule out training on your data, and send only what a task needs.

Our standard

A world-class standard of delivery. Six things every project gets.

  1. 01

    Tested on your real data

Every automation is run against your own documents, messages and records before it goes live.

  2. 02

    A person in the loop

Anything uncertain or unusual is held for your team, with the reason shown.

  3. 03

    Monitored from day one

Failures raise an alert. Nothing breaks silently.

  4. 04

    Documented and handed over

You get a plain-language guide to what each automation does and what it can access.

  5. 05

    Secure by default

Least-privilege access, NDA on request, and your data is never used to train AI models.

  6. 06

    Measured, not assumed

We record a baseline first and report against it, so you can see what changed.

Is this for you?

We are a good fit for some teams, and honest when we are not.

A good fit if

  • You have 10 to 200 people and a process someone repeats every day or week.
  • The work lives in tools with an API or an export: a CRM, an ERP, spreadsheets, an inbox.
  • You want a fixed scope and a fixed price, not an open-ended retainer.

Probably not yet if

  • The process changes every week and nobody owns it yet.
  • You want AI for its own sake, without a task or a number to improve.
  • You need a vendor with formal security certifications today.

In practice

What this looks like in practice.

Three examples of how we take a problem from the first call to a measured result.

Who you work with

You talk to the person doing the work. No account managers in between.

FAQ

Common questions.

Can't find yours? Ask the assistant in the corner, or book a call.

What is an AI agent, in plain terms?

Software that can read a request, decide what to do from rules you set, and carry out the steps in your tools, such as looking up an order or updating a record. It asks a person when it is unsure.

Which AI models do you use?

It depends on the task. We choose from leading models such as Claude, GPT and Gemini, and tell you which one is used and why before we build.

Will the AI make mistakes?

It can, which is why every build is tested on your real cases first, limited to defined actions, and set to hand uncertain cases to a person.

What does it cost to run after it is built?

Usually the platform subscription and AI usage, billed to you directly by the provider. We estimate both in the quote.

Do we need to change the software we use?

Usually not. We build around your current tools.

How long does a project take?

A single workflow or a first voice agent typically takes one to four weeks. You get a timeline before we start.

What happens when something breaks?

Automations are monitored and failures alert us. Support plans cover fixes.

Is our data safe?

Access is limited to what the project needs, we sign an NDA, and your data is not used to train AI models. The Security page has the details.

Will this replace our staff?

The aim is to remove repetitive tasks so your team can spend time on work that needs judgement.

What if we're not sure what to automate?

That is what the AI Audit is for. It gives you a ranked list of opportunities with estimated savings.
