What is an AI reply agent? Faster replies to email, WhatsApp, DMs and reviews
How AI reply agents answer emails, WhatsApp, Instagram and Facebook messages and Google reviews, when to let them send automatically, and when to keep a person in the loop.
By Muthuraman ·
An AI reply agent reads incoming messages, works out what the person wants, and either replies straight away or prepares a draft for your team to approve. It is the written-message cousin of an AI receptionist.
Where it helps
- Shared email inboxes such as info@ and support@, which fill up with the same questions.
- WhatsApp, where customers expect an answer in minutes.
- Instagram and Facebook messages, which are easy to miss entirely.
- Google reviews, where a thoughtful, timely reply affects what future customers think.
How it works
- A message arrives.
- The agent reads it and identifies the topic, the urgency and, where possible, the customer.
- It looks up what it needs: an order, a policy, your help content, availability.
- It writes a reply in your tone of voice.
- Depending on your rules, the reply is sent automatically or waits for a person to approve it.
Draft first, automate later
The safest way to start is approval mode: every reply is drafted and a person checks it before it is sent. After a few weeks you will see which kinds of message the agent handles reliably. Those can go out automatically, while everything else still waits for a person.
Some messages should always go to a person: complaints, refunds, anything legal or medical, and negative reviews.
What makes a good reply agent
- It answers from your information, not guesswork. If it does not know, it says so and passes the message on.
- It sounds like you. It is set up with your tone, your standard answers and examples of good past replies.
- It shows its reasoning. When a message is held for a person, the reason is visible.
- It is measured. Track reply time, how many replies needed editing, and how many were escalated.
What it should not do
It should not invent prices, promises or policies, reply to sensitive complaints without a person, or pretend to be a named member of staff.
